Leaving Mindbody

Mindbody will export your data for a fee it does not publish: the 30-day window and the $499 going around

October 12, 2026

Mindbody says in its own words that it runs a paid data export service. It does not say what the service costs. A figure of $499 is going around anyway. This post reads the two Mindbody pages that cover it, on October 12, 2026, and traces the dollar figure back as far as we could follow it.

The short version: the fee is real because Mindbody says so. The price is second-hand. The window is 30 days, and two Mindbody pages start that clock in different places.

What Mindbody says

Mindbody has an explainer titled "Mindbody Contracts, Cancellation Policies, and Data Exports Explained". It is marked "Last updated: March 12, 2026." It says three things about getting your data out.

The page gives no price for the service. It also does not say how much data counts as "a large volume."

The same page says when the door closes: "Once your site is fully deactivated, you will no longer be able to access the data stored in it." And it tells you what to do first: "Before your Mindbody site is deactivated, we strongly recommend exporting and saving your data for your own records."

That is good advice from the vendor itself. Take it. Run the CSV exports while you still have a login.

What the contract says

The blog post is marketing. The Mindbody Terms of Service are the contract. They are marked "Last updated: March 20, 2026". Section 8.3 covers what happens to your data when the agreement ends, and it is more specific than the blog.

It starts with the default. Mindbody "will have no obligation to maintain your Services account or to retain or forward any data to you".

Then it gives two routes out. The first is self-serve, and its clock starts at the notice: "For a period of no greater than 30 days following a notice of termination, Mindbody will make Your Data" available "through Mindbody's standard web services." That sentence carries an exception: "(except Cardholder Data and Content (as defined in Section 2.12))".

The second route is the export service, and its clock starts at the end: the request has to come "within 30 days following the termination date of this Agreement". It has two conditions. One is "you have paid Mindbody all amounts owed under this Agreement". The other is that the two sides have agreed on a SOW, a statement of work. Only then will Mindbody make your data available "through Mindbody's data export service."

After that: "After such 30 day period, Mindbody will have no obligation to retain or provide Your Data," except as the law requires.

Section 8.3 also covers help before you leave: "If at any time during the Subscription Term you require Mindbody's assistance in retrieving Your Data," then "additional fees may apply."

No dollar amount appears in Section 8.3. A statement of work is a document with a scope and a price that both sides agree to. So the price of the export service is whatever that document says when you ask for it. That is why there is no public number to quote.

Section 6.1 says who owns the data: "As between you and Mindbody, you own all right, title and interest in Your Data." Owning it and getting a copy of it are two separate clauses.

Where the $499 comes from

We found no Mindbody page that states a price for the export service. The dollar figures all trace to one competitor and one Reddit thread.

The competitor is Vibefam, which sells studio software and has a reason to make Mindbody look expensive. Its page "Mindbody pricing in 2026: what you'll actually pay" is dated August 24, 2026. It lists "a ~$500 data export fee that only shows up when you try to leave" and says "Multiple operators on Reddit have reported the ~$500 figure."

A second Vibefam page, "Switching from Mindbody: What Reddit Actually Recommends in 2026", names one source. It is a thread in r/mindbody titled "Mindbody is horrible". We read that thread on Reddit on October 12, 2026. The figure is in a comment dated November 20, 2025, written by the owner who started the thread: "I just migrated all my data which I decided to have done manually rather than pay the $499 data fee to have mindbody provide it."

Three things about that figure.

A third Vibefam page, a comparison landing page, goes further. It says "Mindbody charges roughly $500 for a full Subscriber Data Export when you leave," and that "the free option is limited to names and emails." Mindbody's explainer describes its free route differently: "export your business data in standard formats, such as CSV files." We could not confirm either description from inside a Mindbody account. Vibefam's footnote says its Mindbody figures reflect "publicly documented pricing, contract terms, and add-ons as of mid-2026." It does not link a Mindbody document for the fee.

The same Vibefam article quotes a point in Mindbody's favor. A commenter it describes as a co-founder of a rival platform wrote: "MindBody has been our most seamless [migration] just because they have the cleanest export." So the complaint in circulation is about the cost and the deadline. It is not about the quality of the file.

What is established and what is not

Seven questions to put in writing

Ask these by email before you sign or renew, and again before you give notice. The answers belong in your inbox, not in a phone call.

If you are leaving this quarter

Do the free part first. Export every report you can while your login works, and save the files somewhere that is not Mindbody. Then compare what you have to what your next platform can import. If the gap is small, you may not need the paid service at all. The owner in the Reddit quote made that call.

If the gap is large, ask for the statement of work before your termination date, not after. Thirty days is short when part of it goes to paperwork.

We wrote about the wider version of this problem in Before you sign: what leaving looks like. The notice and renewal rules that sit next to this clause are in our post on Mindbody's contract terms.

A fee to leave is not unusual in software. A fee with no published price is harder to plan around. Get the number before you need it.
