Bring your members over from another system
Switching? Export your members from the old system and import the file. You see exactly what will land before anything is written, nobody is emailed until you say so, and running the same file again never grants credits twice.
- Export your member list from your current system as a CSV. Punchpass and Mindbody exports usually work as they come. Any file with an email column works; name, phone, remaining credits, lifetime visits and a credit expiry date are read when they are there.
- Open Members › Import, choose the file, and click Preview import.
- Read the preview. It names which column fed which field, how many members are new and how many already exist (merged, nothing overwritten), the credits it will grant, and any rows it cannot import and why.
- Choose when imported credits expire: As your file says, All on one date, or Never.
- Click Import N members.
After the import
The report says how many came in, how many merged, and how many credits were granted. Rows that could not be imported can be downloaded as their own CSV; fix them and import that file. Then tell your members, one of two ways:
- Email N members: one email each, from your studio, with your app address and their balance. Sent once; nobody is emailed twice.
- Copy message: a short note to paste into your own email, a text, or Instagram.
Members sign in with the same email they used before, by email link, and their credits are waiting. They sign your waiver before their first booking, so save the waiver before you tell them.
Good to know
- Import once now and once more after you close the old system, to catch the last balances. The same file is the same batch forever; rows already imported are skipped.
- Existing members are only filled in, never overwritten: a name or phone already on the record stays.
- Imported class counts seed the member's milestones, so a regular keeps their badges.
- A balance that expires before your opening day is flagged in the preview; pick one date or Never if that is not what you mean.
- Members who arrive with credits can book before payments are taking money.
